How Does Codent Outreach Work?

We Review More Patients Than You See

Codent works from your Unscheduled Treatment Report, which is refreshed weekly.

From that list:

  • We audit clinical notes

  • Remove duplicates

  • Exclude patients already scheduled

  • Honor β€œDo Not Contact” notes

  • Apply your custom outreach criteria

Example:
If 800 patients are pulled, only a portion may qualify after review.

We actively review and message patients throughout the day (9am–7pm practice local time), but not every patient reviewed will appear on your dashboard.

What Appears in Your Opportunities Tab

You will only see patients when action is required from your team:

  • βœ… Ready to Schedule

  • 🟑 Needs Office Assistance

  • πŸ” Follow-Up Requested

  • 🚫 Declined / Do Not Contact

If a patient does not respond, is already scheduled, or does not qualify for outreach β€” they will not appear in your Opportunities tab.

This ensures your team only receives patients that are truly ready for handoff.

Outreach Cadence

Our standard messaging cadence:

  • Initial outreach

  • Follow-up at 7 days (if no reply)

  • Final follow-up at 14 days

  • If no response after 3 attempts β†’ marked Do Not Contact

If a patient asks for later follow-up (out of town, not ready yet, etc.), we mark appropriately and re-engage at the requested time.

We are intentional about not over-messaging your patients.

What is 'batching' and why do we do this?

Outreach is completed in strategic batches (typically 50–100 messages per day, depending on practice size).

We may message:

  • 2–3 consecutive days

  • Pause for 1 day

  • Resume messaging

This is intentional.

Batching ensures:

  • Your team is not overwhelmed with ready-to-schedule patients

  • Patients are scheduled efficiently

  • You have time to work each opportunity

  • Production impact remains manageable and high-quality

You will receive email notifications when patients move to Ready to Schedule.
